5 rules for automated replies that sound human

Automation is fast, but it doesn’t have to feel cold. Five rules for writing messages that are more natural and more effective.

1. Write the way you talk

Use short sentences and skip formal phrases. Instead of “Your request has been processed”, write “Great, sending it now!”. Your brand voice should stay the same in automation.

2. Use the person’s name and the context

A message that starts with “Hi Ece!” is always warmer than one that starts with “Hello user”. Mention the post they commented on or what they asked for.

3. One message, one purpose

Each message should do one thing: give the link, ask a question or offer a choice. Long paragraphs and several links make the reader’s decision harder.

4. Offer choices as buttons

Instead of an open “How can I help?”, offer 2–3 clear options. Customers tap instead of typing, and you trigger the right flow.

5. Don’t forget the handover

When the automation doesn’t understand, or the topic is sensitive, the conversation should move to someone on your team. “A teammate will get back to you shortly” always beats a wrong automatic answer.

The best automated reply is the one nobody notices.

  • Before: “Hello. Your request has been received. The relevant link is provided below.”
  • After: “Hi Deniz! Here’s the guide you asked for 👇 Message me if anything’s unclear.”
